Add to calendar exports a snapshot of the scheduled Studio room. The file is not a live subscription to later room changes.

Before you start

Open a room that already has valid scheduling details. Have the calendar application/account where you want the event to appear.

Steps

  1. Step 1. Open the intended Studio room and confirm its date, start time, timezone and joining details.

  2. Step 2. Choose Add to calendar. Studio downloads an .ics calendar file containing the room’s scheduled information.

  3. Step 3. Open or import the .ics file in your calendar application. Choose the correct calendar/account when the application asks.

  4. Step 4. Review the event’s start/end, timezone and join link before saving. Check that it represents the intended room rather than another booking.

  5. Step 5. Open the saved calendar event and test that its link points to the correct Studio room.

  6. Step 6. If the room’s schedule changes, update the existing calendar entry or replace it with a fresh export. Remove obsolete duplicates intentionally.

Check the result

The saved event should match the current room details in Studio. Adding a calendar entry does not itself book a host, confirm a pending session or invite every participant.

If something does not work

  • Add to calendar is unavailable: confirm the room has a valid start time and schedule; ask the organizer to correct missing details.

  • The time looks wrong: compare the calendar’s timezone with the room’s displayed time.

  • The old event disagrees with Studio: use the current room schedule as the reference and update the exported snapshot.

  • The join link is correct but access fails: confirm the recipient’s invitation and room access with the organizer.
