Let field experts capture what they know. Keep a coordinator responsible for helping each contribution reach review, production and distribution.
Before you start
Choose one subject, a capture lead for each location, an authorized reviewer and a distribution owner. Confirm site rules, speaker permission and information that must stay out of recordings.
Steps
Step 1. Open Requests → Create request in the intended channel. Name the location/topic clearly and ask one concrete question, such as “Show the three checks before starting this machine.”
Step 2. Add the required text/media questions and an example of a useful answer. Include expected length, the intended audience and what contributors should show.
Step 3. Set the close date, collaborators, response notifications and folder where offered. Review the intended visibility of any content created from responses.
Step 4. Choose the response route: an active shareable Request link for a focused contribution, or the appropriate channel invitation for recurring creators. Social access is for distributing existing assets.
Step 5. Open the collector link and check the instructions before sharing it. Give each location the link, due date, capture contact and restrictions in one concise brief.
Step 6. Review responses in the Request. Follow up on missing answers and check technical claims, audio, framing and permissions before creating production work.
Step 7. Move selected material into the relevant editing/writing workflow. Give the reviewer the resulting asset link and a due date.
Step 8. After approval, publish/share the completed output and return its final link to the contributors. Record which locations submitted and what actually reached distribution.
Check the result
Each location should have a clear next action, and each useful response should have a path to a finished asset. A response count alone does not show that the program produced usable content.
If something does not work
All work waits for one person: assign a backup reviewer or clarify the decision the contributor can make.
A location cannot respond: check Request status, deadline and the exact link before changing roles.
An approver cannot access private-group media: fix the designated approver setting intentionally.
Do not publish raw field footage simply because the upload completed.
