Start with a volume your team can finish. The routine should produce approved content that someone uses, not only a list of planned posts.
Before you start
Choose a coordinator, contributor, reviewer and distribution owner. Have one content lane, such as product explanations, customer questions or field expertise.
Steps
Step 1. At the start of the week, choose one useful question and its audience. Use a customer conversation or a supported AI Visibility finding as input.
Step 2. Create a task with the source/question, contributor, reviewer, intended output, destination and due dates. Use Workbench or the task workflow your team already maintains.
Step 3. Collect the answer with Requests → Create request or a scheduled recording. Give the contributor the exact question, expected length and reference material.
Step 4. Review the source before production. Correct missing facts, confirm Brand Brain context, and request the specific edit or written draft.
Step 5. Review the returned asset in its proper workflow. Keep timestamped corrections together and confirm the latest version before approval.
Step 6. Distribute the approved output: publish to the intended hub/article destination, post to an eligible social account, or provide an authorized link for a sales conversation.
Step 7. At the weekly review, record contributions received, assets completed and items actually distributed or reused. Open the final URLs and identify what is waiting on the next person.
Step 8. Choose the next question based on useful outcomes and available reviewers. Increase volume only when the current cycle reliably finishes.
Check the result
The week should end with a traceable source, reviewed asset and verified destination, plus a clear owner for unfinished work.
If something does not work
No reviewer is available: adjust the promised publish date before requesting more production.
Content is in Social Sharing but nowhere else: assign the distribution action; library placement is not an external post.
Too many topics are open: finish the highest-value question before expanding the queue.
A metric looks better but the tracking set changed: record that change before crediting the content.
