How to Capture Content at an Event When Your Team Runs the Booth
Alanna Greene shares a low-friction system for capturing event content at a busy trade show booth. Build the request link before the show, shoot three clip types daily, and batch everything after.

Hey, everyone. Elena Green here with MarketScale. Wanted to talk about something really important, and that is capturing content when you are at a trade show. And I know a lot of feedback that we get is we would love to have more content, but we are so busy running the booth. How can we do both? So I wanted to give you a couple of tips about how to capture content in an event when your team is busy running the booth. So the first thing you're gonna wanna do, go into Studio, create an open request link before the show, and, you know, create that the question that you want, the purpose of that, you know, title it the trade show that you're gonna be at. Create that link. Use that link to create a QR code and have that printed out somewhere at your booth. That way that people that stop by, they can submit content. People that are working the booth can easily upload content. Make it as easy as possible for that request link to be easily accessible. So definitely recommend a QR code. Set a daily minimum, you know, from your team that's gonna be working the booth. Say, hey. We really need a minimum of three clips. Do a quick booth walk through. You know, do a quick visitor reaction, and then have one team moment. So make it very clear what the expectations are ahead of time. Make it very easy for them. Clip on mics are a great tool to have when you're out and about at these events. Just capture some content, just kinda getting that audio right, especially when it can be a little busy and, loud. So that would definitely be if I was gonna recommend, you know, an extra little tool to bring. I would recommend that for sure. You're working the booth, you're having these great conversations, don't be afraid to ask afterwards, hey, do you mind if I ask you that last question one more time and record it? You know, it's beneficial for them too. Everyone now is going to be more discoverable online through these videos, on social, and make sure that you're communicating that, tagging them, and just building those online relationships. So again, putting yourself out there. Don't be afraid to ask. You know, the worst that they can say is no. And then, make sure that you're uploading to Studio. Right? Use after the day is done, use that QR code, upload everything, you know, batch all those clips into that single request link, and then you can send your request later, after the day is done. But, hopefully, that kinda helps get the idea why you're there. It is busy, but this content is so important. It's important for geo. It's important for your brand, so make some time for it.
Overview
In this 2:41 training, Alanna Greene addresses one of the most common objections to event content capture: the team is too busy running the booth to film anything. She walks through a three-phase system — pre-show setup, in-show capture, and end-of-day submission — that integrates content collection into normal booth activity without disrupting it. The result is a repeatable workflow that turns every trade show into a source of discoverable, brand-building video.
What Is This?
Event content capture is the practice of systematically recording short-form video clips during a live trade show or conference using a structured request workflow, so that authentic, on-the-ground footage can be published and amplified after the event.
What You'll Learn
- Create an open request link in Studio and label it with the event name before the show begins
- Convert the request link into a printable QR code for easy booth-side submissions
- Set a daily minimum of three clip types: booth walkthrough, visitor reaction, and team moment
- Use clip-on microphones to maintain clean audio in noisy trade show environments
- Ask conversation partners to repeat their strongest insight on camera after a natural exchange
- Batch and submit all clips through the request link at the end of each show day
Key Insights
- Pre-show preparation eliminates the biggest barrier to event content — teams that have a link and a QR code ready are far more likely to capture footage consistently
- Three specific clip types per day give team members a clear, achievable target rather than a vague instruction to 'get content'
- Clip-on microphones are a small investment that dramatically improve the usability of trade show footage in noisy hall environments
- Event-sourced content drives both search discoverability and brand visibility long after the show floor closes
Deep Dive
Trade shows represent one of the highest-density opportunities for authentic B2B content, yet most teams leave without usable footage. The core problem is rarely motivation — it is the absence of a system. When booth staff are managing conversations, demos, and logistics simultaneously, content capture feels like one task too many. Alanna Greene's approach reframes the problem by building the infrastructure before anyone sets foot on the show floor.
The pre-show phase centers on Studio's open request feature. By creating a named request link tied to the event and converting it into a QR code that lives at the booth, the submission pathway is always within reach. Team members and even willing visitors can contribute clips without needing an account or a lengthy briefing.
During the show, the daily minimum of three clip types — a booth walkthrough, a visitor reaction, and a team moment — provides just enough structure to make capturing feel manageable rather than open-ended. The walkthrough grounds the content in place and context. The visitor reaction captures social proof in the moment. The team moment humanises the brand and builds internal culture. Together, they produce a varied, publishable set of assets from a single day.
Audio quality is a detail that separates usable footage from footage that gets discarded. Clip-on microphones, paired with the habit of asking strong conversationalists to restate a key point on camera, consistently yield clean, quotable clips even in loud environments. Batching submissions at the end of each day keeps the workflow tidy and ensures nothing is lost.
Frequently Asked Questions
What is an open request link in Studio and how does it work for events?
An open request link in Studio is a shareable submission portal that allows anyone with the link to upload video content without needing a platform account. For events, you create one link per show, label it clearly with the event name, and convert it to a QR code so booth staff and visitors can submit clips on the spot. All submissions are batched in one place for easy review and publishing after the event.
Why are clip-on microphones important for trade show content?
Trade show floors are loud environments with ambient crowd noise, PA systems, and nearby booth activity that camera microphones struggle to filter out. Clip-on microphones isolate the speaker's voice and produce clean audio that is usable in published video without heavy post-processing. This small equipment investment significantly increases the percentage of captured clips that are actually publishable.
How do you get booth visitors to participate in on-camera content without it feeling awkward?
The most effective technique is to let the conversation happen naturally first, then ask the visitor to repeat their strongest observation or insight on camera. Because they have already articulated the thought once, the on-camera version feels confident and genuine rather than scripted. Framing it as a quick moment — rather than a formal interview — also lowers the perceived barrier to participation.

Teams that build strong event capture habits often benefit from exploring broader UGC activation strategies, including how to brief field contributors before live events and how to repurpose short-form clips into longer-form thought leadership content. Understanding how event footage integrates into a consistent content calendar is also a natural next step for teams looking to extend the visibility of each show beyond the days it runs.
